When I get a media request, how will I know how to respond?

You will be assigned a personal publicist. He or she can assist you and provide information about media queries.
 
Relevant Media Requests.
How do you determine which kinds of media queries I should receive?
Our media analyst and her team make careful assessment of your area(s) of expertise. On your behalf, we identify all of relevant requests that we believe you can answer and send them to you. We alert the reporter that we have asked you to respond.
 
Notification of a Media Request.
How will I be notified of a media request that is relevant to my expertise?
We will notify you of each request by email or in some cases by phone.
 
Media Request Deadlines.
How quickly do I need to respond to a media request?
As soon as possible. Everyrequest includes a deadline. Even with a long-lead deadline, it is recommended that you respond to a request with a sense of urgency. You will need to respond immediately to the reporter by email.
 
Transmitting Your Bio and Photo to the Media.
How will the media learn about who I am and my area of expertise?
We will transmit your photo, bio, and direct contact information to the reporter on your behalf. We will tell the reporter that we believe that you are astrong candidate to answer the query. We will then ask you to contact the reporter yourself, thus opening a dialogue between you and the media source. You always have the option of passing on any request due to your absence, time constraints, or because you do not feel that it is relevant.
 
Replying to Media Requests.
How do I reply to the media?
You must always extract the reporter's email address from the query and insert it into a new email that will be sent to the reporter. When you receive a media request from us, do not simply hit reply. If you do, your request will be returned to the sender rather than sent to the reporter. It may go directly to the Newswire database and will take a day to return to us.
 
Tracking of Media Placement.
How do I know if I have been covered in a news story?
More often than not, the reporter will let you know that they are using your commentary. However, there have been many occasions when there was no prior notification. We strongly recommend that you follow-up with the media source to find out the date of publication. We also recommend that you capture your press coverage and add it to your website or use it as a promotional tool to send to your clients and colleagues.
 
Cloaked Media Requests.
What do I do when I receive a media request that does not have the reporter's contact information?
There are rare instances when a reporter has withheld his or her identity to minimize the number of responses from experts. In these cases we will alert you that you will need to send your email response to your personal publicist instead of to the reporter. Your personal publicist will then forward your response to the reporter from within the Newswire system, which is a closed database.
 
Placing a Hold on Media Requests.
What do I do if I am out of town and unable to respond to requests?
If you will be unable to respond to requests from the Media for any period of time, contact your personal publicist and alert her to the dates that you will be unavailable. She will refrain from sending you requests and sending your bio to reporters until you have returned.
 
Other PR Programs for Individuals
What do I do if I am interested in sending out a press release or acquiring speaking engagements?
Other more intensive levels of PR programs are offered to individuals. These programs range from press tours and ongoing proactive media relations to blog placement and speaking engagements. If you are interested in a more intensive program, contact your personal publicist.
